Summary:
This role is for our Lenox Advisors Group. Lenox Advisors brings together sophisticated solutions in wealth management and insurance services to high-net-worth individuals and their families. As a wholly owned subsidiary of NFP Corp., we combine the culture of a boutique firm with the stability and backing of a large corporation to create an environment that's truly unique.
The Executive Assistant will support a C-suite executive and his/her delegates. You will be responsible for enhancing the executive's effectiveness by performing a wide variety of complex, diverse, sensitive, and confidential administrative functions while providing management support and forming trusted partnerships with stakeholders.
We offer the flexibility of working from either our NYC or Stamford, CT offices with some work from home flexibility.
Responsibilities:


  • Maintains the executives' calendar, including making appointments and prioritizing the most sensitive matters.
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives' behalf.
  • Responsible for greeting clients, fielding phone calls, reviewing incoming mail, managing office supplies, ordering client gifts.
  • Coordinate all aspects of internal and external meetings including but not limited to confirming all meetings and appointments as directed by the executives: reserving meeting space, preparing the conference room with audio-visual technology and compiling all necessary presentation materials.
  • Arrange corporate travel including developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations. Provide a bridge for smooth, accurate communication between the executives' office and internal departments; demonstrating leadership to maintain credibility, trust and support.
  • Execute occasional marketing campaigns as directed by the executives in conjunction with our Marketing Department.
  • Manage executives' departmental calendar, expenses and other Senior Level Managements' calendars when needed.
  • Ensure data accuracy in company records by regularly and routinely updating business contacts, client and vendor information in MOSAIC and maintaining files according to company compliant procedures.
  • Compile and modify presentations, spreadsheets, and other various documents at the executive's request.
  • Handle all confidential business matters and work independently on special assignments.
  • Provide miscellaneous administrative and/or personal matters as necessary.
  • Participate in regular departmental meetings and training and development sessions as directed.

    Education and Experience:

    • The ideal candidate will have a background in Insurance/Wealth Management, Fortune 500, banking and finance or related industries
    • Bachelor's degree preferred in addition to related experience
    • Professional-level verbal and written communication skills with excellent interpersonal skills
    • Demonstrated experience supporting C-Suite or senior managers as an Executive Assistant or Administrative Assistant with increasing levels of responsibility. Experience directly supporting one or more executives and his or her team is preferred
    • The ideal candidate must be proficient with all of MS Office Suite and can learn new and various software quickly and be a point-person in such systems to assist others
    • Ability to meet deadlines in a fast paced quickly changing environment
    • A proactive approach to problem solving with strong decision-making skills
