Position Title: Senior Associate, Executive Office Department: Executive Office Location: Hybrid - Stamford, CT Key Relationships: Reports to: Associate Director, Executive Office Direct Reports: None Assignment Type: Full time Compensation: Our compensation philosophy is grounded in being competitive, equitable, and transparent. Competitive: The salary range for this position is $49,280 to $62,720. Equitable: We avoid negotiation within the ranges to create equity across our team, because we know that salary negotiations lead to poorer outcomes for individuals from non-dominant groups and underrepresented communities. Transparent: We construct our salaries in such a way that staff can move through the range as they grow within their level. As such, most candidates will start at the midpoint of the range ($56,000), with some above or below the midpoint based on specific skill sets and experiences. About the position: The Executive Office Senior Associate will support the President & CEO and Leadership Team in leading Americares growth and impact globally. The Senior Associate will serve as the primary support to the President & CEO by providing calendar scheduling and management for internal and external commitments, coordinating all CEO approvals and signatures, and coordinating travel and logistics and expenses. The Senior Associate will also provide general support to the Leadership Team, such as scheduling and travel/logistics, as needed and supporting the Associate Director, Executive Office in managing the Americares Board of Directors. Additionally, the Senior Associate will support other ongoing priorities, such as managing the all-staff meeting calendar. Key Outcomes: In the first 90 days, the Senior Associate will develop an understanding of the organization, our work, and priorities, and how that impacts the CEO's schedule and bandwidth. They will also begin to develop an understanding of the large Leadership Team and their roles. In the first 6 months, the Senior Associate will be managing both CEO support and the organizational calendar independently and proactively. In the first year, the Senior Associate will continue to provide high quality, service focused support to the CEO and Leadership Team, and will begin to look at work with an eye to innovation, process improvement, and enhanced support. Duties and Responsibilities:

  • Manage President & CEO's schedule, including organizing internal and external meetings, proactively addressing conflicts, coordinating travel and other logistics
  • Serve as organizational point of contact for all documents requiring signature of the President & CEO, and ensure timely execution and follow-up
  • Support Leadership Team scheduling, travel, and logistics, as needed
  • Manage organizational calendar
  • Manage the weekly all-staff meeting schedule, including building a regular rotation of presentations, and compiling additional agenda items
  • Provide support for CEO and Leadership Team-led meetings and events, such as bi-weekly office hours, Town Hall meetings, LT offsite retreats, etc., including space set-up, food and other logistics
  • Support the Associate Director, Executive Office in managing Americares Board of Directors, including scheduling meetings and other responsibilities, as needs arise
  • Support People Talent team with rotation of CEO/LT roundtables

    • You have demonstrated experience in project management and supporting senior leadership or board of directors
    • You have an excellent sense of prioritization and are a demonstrated self-starter
    • You are exceptionally detail-oriented and organized, and are able to manage multiple, changing priorities simultaneously
    • You take detailed notes in many different types of meetings, extracting the appropriate action items and follow ups for key individuals
    • You have demonstrated outstanding cultural competency in working with diverse colleagues
    • You are proficient with the Microsoft Office suite
    • You have language in at least one of our core languages: Spanish, Tagalog, Hindi, Kiswahili, Haitian Creole (this would be a plus, but is not a requirement)
