Senior Financial Administrator is responsible for complex
financial, compliance, performance, and treasury reporting that
requires a high degree of specialized knowledge for the clients of
Ultimus Fund Solutions, LLC.ESSENTIAL DUTIES AND
RESPONSIBILTIESFINANCIAL STATEMENTS AND REPORTING--- Prepares
financial statements of securities held for each fund including NQ,
NSAR, NCSR and 24f-2 reports on a quarterly, semi-annual, and
annual basis for distribution to advisors and SEC--- Compiles
quarterly reports utilized by Board Members--- Prepares, validates
and/or assists in preparation of client accounts, reporting,
financial statements, financial audit reporting and/or specific
client reporting including, but not limited to, accruals monthly,
quarterly and/or annual tax/financials packages for fund, portfolio
company level and investor reporting as per administration &
service level agreements--- Analyzes, researches, and ensures
appropriate reconciliations surrounding investment activity/data
(i.e., bank accounts, expenses, income, gains, withholding, etc.)
are completed accurately and timely; ensures all financial
reporting/information to clients/investors is reviewed and
validated for accuracy prior to dissemination--- Utilizes fund
performance tracking system to monitor and review fund performance;
distributes information to clients as needed--- Provides training
to financial administration team on department workflow processes
and performs limited preliminary product review on work to ensure
adherence to department guidelines--- Acts as second level
escalation point for issues and problems; resolves where
appropriate to provide effective supportFUND BUDGETING--- Prepares
and maintains budgets for each assigned fund according to
fluctuations of fees/expenses due to asset changes; adjusts the
budget as needed--- Executes, monitors, and adjusts fund expense
budgets and advisor reimbursements/waiversRATING AGENCY
REPORTING--- Interacts with rating agencies regularly by releasing
portfolio holdings, answering surveys, or providing fund
informationMANAGEMENT FEES--- Calculates standard monthly
management fees for each fund, and distributes fee authorization to
appropriate party--- Bills fund expenses such as management and
12b1 fees according to contracts; enters trial balance data from
accounting reports and performs calculations to ensure a
matchSPECIAL PROJECTS--- Works independently on special projects as
assigned and required by management--- Seeks and identifies process
improvement opportunities within department and effectively
communicates process management with coworkers and potential
clients as neededCOMPLIANCE--- Performs compliance monitoring and
reporting; conveys findings on exceptions to tax/compliance
department and/or advisor--- Completes monthly compliance checklist
and distributes to Financial Administration Manager to review
compliance with the 1940 Act, IRS and prospectus rules and
regulations--- Ensures financial results, including footnote
disclosures present, to Fund's SEC filings are properly stated and
in compliance with all applicable authoritative accounting
guidance--- Ensures appropriate policy and procedure documentation
is produced and maintained in compliance with authoritative
accounting literatureMENTORING--- Mentors' co-workers through
instruction, coaching, providing real-time on-the-job experiences,
modeling effective practices, and advising on methods usedWORKING
RELATIONSHIPS & CONTACTS--- Frequent contact with rating agencies
regarding fulfilling requests or reporting on fund-related
information--- Regular contact with the Assistant Vice President to
complete and/or get clarification on special projects--- Daily
contact with Financial Administration team regarding fund financial
statements, reports, compliance, etc.May perform other duties as
required and assignedKNOWLEDGE AND SKILLS--- Knowledge of financial
reporting and performance systems--- In-depth knowledge and
understanding of financial instruments including stocks, bonds,
options and foreign securities and derivatives--- Knowledge and
experience with disclosure controls and procedures to provide
executive management with an elevated level of comfort in the
accuracy of financial statements--- Ability to multi-task while
maintaining careful diligence--- Ability to work effectively both
individually and within a team environment--- Ability to work with
a sense of urgency to meet deadlines and address competing
priorities--- Effective written, listening, and verbal
communication skills--- Strong research skills and the ability to
independently seek out, compile, evaluate and verify necessary
information--- Strong problem solving, analytical and
organizational skills--- Proficient with Microsoft Office software
including Word, Excel, PowerPoint, and Outlook--- Proficient with
Adobe AcrobatQUALIFICATIONS--- Minimum of a bachelor's degree in
Accounting, Finance, Economics, Business, or related field
required--- Minimum of 4 years prior Mutual Fund Accounting
experience or 2-3 years of Mutual Fund Administration experience
requiredEquivalent education and experience will be
